Medical Office Property Manager needed for a growing real estate company to provide professional day-to-day management of a portfolio of medical office buildings throughout greater Las Vegas market.  The ideal candidate will have experience with commercial leases, tenants, existing vendor relationships, accounts payable and receivables, as well as property budgets and CAM reconciliations a must.  Medical office experience a plus.  This is a great opportunity for a proactive self-starter who works well in a team environment. Individual should be competent using Microsoft Word, Outlook, and Excel.  MRI experience preferred.    

The Medical Office Property Manager position supports and assists in the management of commercial medical office real estate in accordance with the Management Agreements. The Property Manager is involved in all aspects of day-to-day operations of the property or properties, including accounting, tenant relations, maintenance and repair, security, janitorial services, landscaping, etc. The Medical Office Property Manager handles tenant complaints and service requests, and must be familiar with the terms of tenant leases. The Medical Office Property Manager assists in the preparation of the annual budget, reporting and financial performance of the property. 

 

Job Requirements

We are looking for a highly energetic, proactive, hands-on individual to manage our Nevada portfolio. Our portfolio of properties will require you to think on your feet and be ready to go. You will work in a team environment where everyone pitches in to solve the task at hand. You will have daily access to upper management, admin staff, accounting, vendors, tenants, and more. Your willingness to tackle each project with an open and friendly attitude will encourage and promote a cohesive and collaborative relationship with contractors, brokers, etc.

Responsibilities

  • Attend weekly Management and Leasing Meetings, monthly Operations Review Meetings, and other meetings in corporate home office designed to provide upper management with valuable insight into maintenance, accounts receivable, legal and leasing issues

  • Maintain open communication with all tenants; regularly conducting physical inspections of properties

  • Review vendor contracts and proposals for competitiveness

  • Establish schedule of preventative maintenance for each property and provide Operations Administrative Assistant with vendor information to update Master Vendor Contact List

  • Create annual property budgets and monitor expenses in relation to budget

  • Review and approve vendor invoices, as well as review all invoices for appropriate account coding;  investigate discrepancies or unexplained increases; and ensure all w-9’s and Lien Releases have been collected from vendors for check processing

  • Review all Lease Agreements (Gross, Modified Gross, & Triple Net), License agreements, Addendums/Exhibits, Termination Agreements, & Assignments/Assumptions

  • Effectively and equitably enforce lease provisions and policies

  • Abstract new leases; review and input all annual fixed and CPI rent increases; and continually update Rent Roll 

  • Oversee New Lease Check-in process, including the transfer of tenant information from Acquisitions or Leasing Dept. to Operations Group and coordinate leasing activities with Leasing Dept.

  • Oversee the Move-out process for vacating tenants, including completing Move-out forms & Security Deposit Returns

  • Monitor Aging Reports and collect delinquencies  in a timely manner; review 3-Day Pay or Quit Notices, as well as other legal notices; coordinate with internal and external legal counsel; negotiate workout agreements with tenants; and provide upper management with A/R Summary with collection comments

  • Assist in the compilation and updating of a property management file for each property which includes property rent roll, budget, acquisition pro forma, preventative maintenance schedule, floor plan, vendor contract information, property photos, leasing comparables, vendor proposals and other property information

  • Oversee the collection and filing of vendor and tenant insurance certificates, as well as lease file tenant correspondence, legal notices, estimated CAM statements and CAM Reconciliations

  • Prepare and/or review the following types of correspondence:  Fully-executed Lease Agreements;  3-Day Pay or Quit; Covenant to Perform or Quit;  Lease Transmittal; Notice of Non-Responsibility; Tenant CAM Estimation; Tenant Welcome; Lease Rent and Commencement Date; Notice of Property Inspection; Vendor and Tenant email notifications; etc.
